Your employee directory, the employee card, working schedules, and bulk staff import.

Your Team

Every employee in your salon has a record here — their personal details, their role, their pricing tier, their working schedule, and the individual record card that everything else in Pro (rota, leave, payroll, reviews, commission) connects back to.

This guide covers adding employees, the directory, and every tab on the employee card — including the Working Schedule tab, which several other parts of the system depend on. Leave, absence, reviews, training, rota, and commission each have their own dedicated guide; this is the hub they all link out from.

⚠️
Set up a Working Schedule for every employee as part of adding them. It's not optional admin — sickness and time-off requests cannot be calculated for an employee until their schedule is set. See Working Schedule below.

Go to Team → Employees for the full list of everyone on your team.

Adding an Employee

Go to Team → Employees → Add Employee. The form is split into two sections.

Add Employee — personal details section

Personal details — name, contact information, and date of birth

Add Employee — employment details section

Employment details — start date, contracted hours, and role

Roles

Each employee is assigned one of three roles, which controls what they can see and do in the system.

⚠️
A new Manager starts with zero permissions. Go to Owner Settings → Manager Permissions to toggle access section by section before they'll be able to see anything beyond the Employee Portal.
Once the employee is created, treat these two steps as part of "adding" them, not optional follow-up: set their Working Schedule, and confirm their role has the access it needs under Manager Permissions if applicable.

The Employee Card

Click any employee in the directory to open their card. It's organised into tabs across the top: Personal Info, Schedule, Holidays, Absences, Training, Reviews, Disciplinary, and Notes.

Working Schedule

The Schedule tab sets an employee's regular weekly working pattern — which days they normally work, their start and end times, and their break. This is separate from the Rota: the Schedule is the recurring pattern behind the scenes; the Rota is the actual shift-by-shift plan you build week to week. See Rota & Commission for building the rota itself.

Set Start Time, End Time, and Break (mins) for every working day.

Check the Total Weekly Hours figure at the bottom looks right, then click Save Schedule.

This isn't optional. Sickness and time-off requests are calculated against this schedule. If it's left blank, the system correctly refuses to calculate sick pay or time-off days for that employee rather than guessing — so set it up when the employee is added, not after the first time-off request comes in.

If someone's actual hours vary week to week, set the schedule to their most typical or contracted pattern and update it if that pattern changes long-term. It represents their regular week, not any one specific week's rota.

Disciplinary Records

The Disciplinary tab holds a record of any formal disciplinary action taken against the employee — a chronological log kept against their card alongside Absences, Holidays, and Notes.

Keep this factual and dated, the same way you'd keep a paper file — it's the record you'd refer back to if a situation with this employee were ever escalated or challenged.

Importing Employees

Go to Data → Import — the same import hub used for services, products, suppliers, expenditure, income, and clients, with one card per data type.

Each card lists exactly what that import covers and offers both Import and Export — Clients is import-only. Employees covers personal details, employment dates and role, and payroll information such as hourly rates and commission.

Choose the Employees card to bulk-import your team rather than adding people one at a time.

Always download the current template before preparing your file. The system checks every row before anything is imported, so a single bad row won't corrupt the rest of the batch.

Bulk import does not set a Working Schedule for imported employees. After a bulk import, go through each new employee's card and set their Working Schedule before relying on time-off or sickness calculations for them.
